Director of Operations

We’re looking for an extremely dedicated individual to join our team as a Director of Operations.

Reporting to the Head of Operations, your job will consist of developing and managing daily operations, identifying inefficiencies, building systems, improving operational processes, automating operations, and ensuring the efficient and effective delivery of services. You will also be responsible for leading and mentoring a diverse, globally distributed team, managing operational systems, and contributing to strategic planning.

RESPONSIBILITIES

Process Improvement:

  • Analyze existing processes and identify areas for enhancement.
  • Develop and implement process improvement strategies.
  • Investigate and resolve operational issues and complaints.
  • Establish norms and standards for company performance.

Team Management:

  • Monitor staff performance and organizational processes.
  • Collaborate with stakeholders to enhance productivity and staff satisfaction.
  • Manage and mentor staff cohorts and teams of various sizes.
  • Train, mentor, and guide team members in new processes.

Operational Oversight:

  • Work with different departments to document processes and create standard operating procedures.
  • Communicate ideas and opinions to other members of management.
  • Stay up-to-date with developments in management and process optimization.
  • Oversee integrations and systems for all departments.

System Administration:

  • Manage the following tools: Google Sheets, Calendly, Zoom, Notion, Pandadoc, Zapier, Monday.com, and HubSpot
  • Create reports necessary to improve processes.
  • Assist with identifying opportunities for process automation.
  • Implement audit, logging, and monitoring solutions for operational tools.
  • Monitor the performance of the Operations Admin staff and manage their tasks.
  • Drive standard operating procedures documentation across the organization.

System-Specific Responsibilities:

  • Excel or Google Sheets: Track and analyze data, create reports, graphs, pivot tables, etc.
  • Monday.com: Set up and customize boards and dashboards; troubleshoot issues.
  • Zapier: Design and create automated workflows; troubleshoot workflow issues.
  • HubSpot: Develop and implement automated workflows; maintain and optimize the CRM.
  • Zoom: Configure and manage accounts and settings; provide technical support and troubleshooting.
  • Calendly: Configure and manage accounts and integrations; troubleshoot scheduling issues.
  • PandaDoc: Configure and manage accounts and document workflows; provide technical support.
  • Notion: Customize and manage the workspace and user access; integrate with other tools and provide support.

REQUIREMENTS

  • Proven experience in Operations management, ideally within a growing business.
  • Experience developing business processes and executing on systems integration.
  • Experience managing a diverse and distributed team across different time zones.
  • Excellent problem-solving skills and attention to detail.
  • Strong communication and leadership abilities.
  • Proficiency with operational tools listed above (or similar)

This will be a remotely administered FULL TIME [40 hr/week] position with an immediate starting date upon hire. Working hours: 6am-11am PST are mandatory, over 3 hours are flexible. You will need to be able to accommodate different schedules and time zones. You will need a quiet workspace with fast internet, a webcam, and a microphone for video calls. This role is compensated on pure experience, and you will receive considerable levels of autonomy and ownership over your projects.
